Project Operations Manager

Denken Solutions Inc is an IT company with 15 years of experience with offices at California, Canada, India and Mexico, providing IT solutions in the United States.

The role is 100% remote from any location in Mexico. The client is located in the United States, so a fluent conversational English level is required because you will work with the US Market.

Salary: Up to $40,000 MXN gross

Position Summary

The Project Operations Manager is responsible for overseeing the administrative and operational execution of multiple technology integration projects simultaneously. This position serves as the central point of coordination between Sales, Purchasing, Dispatch, Field Operations, Administrative Support, Customers, Vendors, and Executive Management. The successful candidate will ensure projects remain on schedule, within budget, properly documented, and consistently communicated while continuously improving company workflows, reporting, and project management processes, all while adhering to PMP Standards and Procedures.

Primary Responsibilities:

Project Planning & Execution:

• Review project handoffs from Sales before project kickoff.
• Develop project work plans, schedules, milestones, and resource requirements.
• Ensure project prerequisites are completed before field work begins.
• Coordinate with Dispatch to build labor schedules and technician assignments.
• Monitor all active projects daily.
• Identify schedule conflicts and recommend corrective actions.
• Proactively resolve project risks before they impact delivery.

Project Administration

• • Monitor project tickets and work orders daily.
• • Verify technician notes, documentation, and completed tasks.
• • Ensure work orders are properly closed.
• • Coordinate ticket rescheduling with Dispatch.
• • Maintain accurate project documentation.
• • Verify project deliverables have been completed according to scope.

Customer & Vendor Communication

• Serve as the primary administrative point of contact for project communications.

Responsibilities include:

Financial Management: Monitor project financial performance throughout the project lifecycle.

Material Management: Coordinate with Purchasing and Warehouse personnel to ensure:

• • Material shortages are identified early.
• • Deliveries are coordinated with project schedules.
• • Field teams have required equipment before mobilization.

Change Management: Administer the complete change order process.

• • Documenting requested scope changes

• • Preparing change documentation
• • Tracking customer approvals
• • Updating budgets
• • Updating schedules
• • Communicating approved changes to field personnel

Issue & Risk Management: Maintain active logs for

• Ensure issues are assigned, tracked, and resolved.

Quality Assurance: Verify project completion by ensuring:

• • Labeling is complete.
• • As-built documentation has been updated.
• • Punch lists are resolved.
• • Customer acceptance has been obtained.
• Project Closeout
• Manage formal project closeout activities.

Verify:

• • All tickets are closed.
• • Budget versus actual hours are reconciled.
• • Material reconciliation is complete.
• • Change orders are finalized.
• • Documentation is complete.
• • Warranty information is recorded.
• • Lessons learned are documented.

Reporting & Analytics:cDevelop and maintain operational dashboards and reports.

Track key performance indicators including:

• • Project completion metrics
• Present regular reports to executive management.

Required Qualifications:

• PMP (Project Management Professional) certification required or strongly preferred.
• 5+ years of project management experience managing multiple concurrent projects involving: Technology integration, Multi-site deployments, Digital signage or Video conferencing.
• Project management methodologies
• Experience creating reports and dashboards with Power BI, Power Automate, Sharepoint, MS Planner or ConnectWise Manage.
• Strong analytical and problem-solving abilities
• Experience supporting field service or construction operations.
• Excellent organizational and communication skills.
• Advanced Microsoft Office skills, particularly Excel.
