Executive Assistant

Job Overview
The Executive Assistant provides high‑level administrative and operational support to a senior leader, ensuring effective calendar management, smooth coordination of meetings and events, timely communication, and strong follow‑through on priorities and projects.
Responsibilities
- Manage complex, frequently changing calendars across multiple time zones.
- Prioritize meetings and commitments based on strategic importance.
- Proactively resolve scheduling conflicts and anticipate time needed for preparation and follow‑up.
- Schedule, organize, and coordinate meetings (virtual and in‑person), town halls, and offsites, global and regional visits.
- Prepare and distribute agendas, materials, and briefing documents.
- Capture and track action items and ensure follow‑through.
- Coordinate domestic and international travel itineraries, including flights, accommodations, and ground transportation.
- Prepare detailed travel packets and adjust plans as needed.
- Process expense reports accurately and on time, ensuring policy compliance.
- Manage incoming and outgoing email and other communications on behalf of the executive.
- Draft, proofread, and format presentations, memos, and other documents.
- Act as a point of contact for internal and external partners, representing the executive with professionalism and discretion.
- Maintain organized digital and physical files and records.
- Track key deliverables and deadlines; follow up with stakeholders as needed.
- Support preparation of reports, presentations, and data summaries.
- Handle sensitive information with the highest level of confidentiality and integrity.
- Build strong working relationships with leaders, peers, and partners across the organization.
- Demonstrate sound judgment in managing sensitive topics and competing priorities.
- Process invoices, purchase orders, contracts and other administrative transactions.
- Support onboarding of new team members (e.g., scheduling, access requests).
- Identify opportunities to improve processes and tools to increase efficiency.
Qualifications
- 2+ years of experience providing administrative support or in similar roles.
- Advanced level of English.
- Bachelor’s degree in Business Administration, Communications, or a related field.
- Strong proficiency with office productivity tools (e.g., Outlook/Email, Microsoft Office Suite, calendar tools, and virtual meeting platforms).
- Strong organizational skills with exceptional attention to detail and follow‑through.
- Proven ability to handle confidential information with discretion.
- Demonstrated ability to manage multiple priorities in a fast‑paced, dynamic environment.
- Experience in a large, matrixed or global organization.
- Experience supporting more than one leader simultaneously.
- Proactive problem‑solving and anticipation of needs.
- Strong collaboration and relationship‑building.
- Adaptability and resilience amid shifting priorities.
