Project Manager

GENERAL SUMMARY

The Project Manager, Operations is responsible for supporting the successful execution of operational initiatives, technology implementations, QC production workflows, and cross-functional project plans across the organization. Reporting to and working closely with the SVP of Production, Operations Director, this role serves as the operational backbone for project tracking, process coordination, team accountability, and status reporting across connected technology teams, asset management, QA/QC operations, traffic management, production teams, and client leadership.

The PM is responsible for creating and maintaining both high-level roadmaps and detailed project plans that support timely delivery against aggressive business objectives and client commitments. They help organize and report project status, milestones, risks, dependencies, and blockers, ensuring teams remain aligned and accountable throughout implementation and delivery.

This role requires a highly organized, detail-oriented individual who can effectively coordinate multiple workstreams simultaneously, proactively identify risks, facilitate communication across teams, and drive projects forward in a fast-paced environment. The ideal candidate combines strong operational experience, project management discipline, and an ability to translate complex initiatives into actionable plans and measurable outcomes. Note that this specific role that does not require finance background/experience, but will be involved in budget and project burn tracking.

RESPONSIBILITIES

  • Help develop and maintain comprehensive project plans, timelines, roadmaps, and implementation schedules across multiple operational workstreams
  • Generate both executive-level project summaries and detailed task-level project plans to support stakeholder communication and delivery execution.
  • Help support technical project success by identifying project milestones, dependencies, risks, resource requirements, and success criteria.
  • Maintain project governance documentation, status reports, meeting cadences, and executive communications.
  • Facilitate project kickoffs, working sessions, milestone reviews, and stakeholder alignment meetings.
  • Support day-to-day operational management across technology implementations, asset operations, quality control items, traffic management, production workflows, and client deliverables.
  • With the Ops team, drive accountability across functional teams by tracking commitments, action items, deadlines, and implementation milestones.
  • Ensure operational processes are documented, followed, and continuously improved for efficiency and scalability.
  • Has impeccable follow-through regarding ad hoc and out-of-scope requests for the Production team, connecting disconnected teams and closing loops where need possible.
  • Support adoption of AI-enabled tools and emerging technologies that enhance operational performance and project delivery.

LOCATION & COMMITMENTS

  • Full-time role, currently hybrid status (Remote will be considered)
  • In-person/in-office minimum of 3 days per week
  • Travel may be required to deliver on client and production needs

QUALIFICATIONS

  • 3-5+ years experience as a project manager for an ad agency or related creative organization in a project management, producer, or operations role
  • Current PMI-PMP or PMI-CPMAI certification is preferred.
  • Demonstrated experience building and managing complex project plans, implementation schedules, and operational roadmaps – ideally with some experience managing technical /systems/infrastructure projects.
  • Strong familiarity with video production workflows, creative operations, digital asset management, and QC processes.
  • Excellent written, verbal and presentation communication skills
  • Must be extremely organized, detail-oriented and capable of self-managing and multitasking in a fast-paced, demanding environment
  • Strong problem-solving skills
  • Able to apply critical and strategic thinking
  • Stress-tolerant, quick-thinking and accurate
  • Experience with various platforms including Microsoft365 Tools (Excel, Word, PPT, Teams, Sharepoint, etc.), Smartsheet, and Miro/FigJam/Figma

PHYSICAL DEMANDS

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times
