Operations Coordinator

As an Operations Coordinator, you will manage various aspects of our operations. Your primary focus will be ordering supplies, overseeing the production process, handling labels, and managing e-commerce orders, marketplaces, and wholesale channels. Your role is crucial in ensuring smooth operations and exceptional customer satisfaction.

Key Responsibilities

• Ordering Supplies and Production Management:
  • Source and order raw materials and supplies necessary for product production.
  • Coordinate with suppliers to ensure timely delivery and quality of materials.
  • Manage inventory levels to prevent shortages.
• Packaging Management:
  • Coordinate the ordering, printing, and shipping of product labels.
  • Ensure all labeling complies with regulatory standards and brand guidelines.
  • Manage packaging materials and ensure products are properly packed for shipment.
• E-commerce Order Management:
  • Process and fulfill e-commerce orders in a timely and accurate manner.
  • Monitor and manage orders from e-commerce.
  • Handle customer inquiries and resolve any issues related to orders.
• Marketplace and Wholesale Channel Management:
  • Manage listings and inventory on online marketplaces (Faire, UNFI, AmeriSource, Amazon, Walmart, etc).
  • Develop and maintain relationships with wholesale partners.
  • Process and fulfill wholesale orders, ensuring timely delivery.
  • Monitor marketplace performance and suggest improvements.
• General Administrative Support:
  • Perform various administrative tasks to support daily operations.
  • Maintain accurate records of orders, inventory, and shipments.
  • Provide regular updates and reports to the management team.

Qualifications

• Proven experience as a Virtual Assistant or in a similar role.
• Excellent organizational and multitasking skills.
• Strong and fluent English communication skills, both written and verbal.
• Proficiency in using e-commerce platforms.
• Familiarity with inventory management and order fulfillment processes.
• Ability to work independently and as part of a team.
• Attention to detail and commitment to quality.

Preferred Qualifications

• Experience in the beauty industry.
• Knowledge of sustainable and ethical sourcing practices.
• Experience with wholesale channel management.
