Role Overview:

We’re looking for a highly organized Order Operations Coordinator to manage orders from the moment they are placed through final delivery.

You’ll process e-commerce and B2B orders, coordinate small-parcel and LTL shipments, manage returns and freight claims, and help customers resolve order-related issues. You’ll also support more complex distributor and custom orders involving deposits, multiple shipments, and longer production timelines.

This is a detail-driven, systems-heavy role. Success means ensuring every order is accurate, shipped correctly, delivered on time and catching problems before customers have to ask.

Key Responsibilities:

• Process e-commerce, wholesale, distributor, and custom orders
• Coordinate small-parcel and LTL shipments across multiple warehouses
• Verify SKUs, quantities, pricing, freight, and delivery information
• Manage invoices, deposits, partial payments, and final balances
• Monitor shipments and proactively communicate delays
• Resolve carrier issues, returns, replacements, and shipping claims
• Respond to customer questions about orders, tracking, and availability
• Maintain accurate records across Shopify, ClickUp, and Luminous

Qualifications:

• 2+ years experience in order processing, operations, or fulfillment
• Experience handling B2B orders with complexity (customization, deposits, multiple shipments)
• Extremely high attention to detail — you notice inconsistencies others miss
• Strong written communication skills (clear, calm, and customer-focused)
• Comfortable working across multiple systems and tools
• Ownership mentality — you feel responsible for outcomes, not just tasks
