Payroll Specialist

Responsibilities

• Process bi-weekly payroll for multiple U.S. locations.
• Ensure payroll transactions are completed accurately and within established deadlines.
• Process payroll transactions related to new hires, terminations, pay rate changes, transfers, bonuses, and deductions.
• Maintain employee payroll records, tax forms, direct deposit authorizations, and related documentation.
• Support payroll corrections, off-cycle payments, retroactive adjustments, and final paychecks.
• Respond to employee and manager inquiries regarding pay, taxes, deductions, and timekeeping issues.
• Assist with garnishments, benefit deductions, retirement contributions, and other payroll withholdings.
• Monitor compliance with federal, state, and local U.S. wage and hour regulations.
• Support year-end payroll activities, including W-2 preparation and distribution.
• Generate payroll reports for management and accounting teams.
• Maintain strict confidentiality of payroll and employee information.
• Assist with payroll audits and special projects as needed.

Requirements

• Education
  • Associate degree in Accounting, Business Administration, Finance, or a related field preferred.
• Required Experience
  • Minimum of 3 years of experience processing U.S. payroll (required).
  • Experience processing payroll for multiple locations and/or multiple states.
  • Experience with payroll and timekeeping systems.
  • Experience supporting U.S.-based operations.
  • Experience with UKG (Ultimate Kronos Group) is highly preferred.
  • Experience in healthcare, senior living, or service-based industries is a plus.
  • Advanced English proficiency is required, as the role involves daily interaction with U.S.-based manager and stakeholders.
  • Open to work on a Hybrid Scheme at Colonia Providencia in Guadalajara, Jalisco

  • Strong understanding of U.S. payroll practices and wage and hour regulations.
  • Excellent attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Excel and Microsoft Office applications.
  • Strong customer service and problem-solving skills.
  • Ability to manage multiple deadlines in a fast-paced environment.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Excellent verbal and written communication skills in English.
  • Ability to work independently and collaborate effectively with cross-functional teams.
