Inside Sales Support Analyst

-1-2 days per week onsite in Querétaro, Mexico

Position Summary : Provides administrative, operational, and customer support to the Inside Sales team by assisting account managers with daily sales activities, coordinating shipping and order documentation, facilitating communication with warehouse, accounting, and other departments, and ensuring accurate and timely processing of customer orders and related documentation.

Essential Duties and Responsibilities : To perform this position successfully, an individual must be able to perform each essential duty satisfactorily. Additional duties may be assigned as business needs require.

• Provide support to warehouse operations by preparing and distributing shipping labels, packing lists, and related shipping documentation.
• Ensure timely transmission of shipping documents and order-related paperwork to customers.
• Maintain and manage customer portal activities, including invoicing, shipment processing, and Advanced Shipping Notices (ASN).
• Process tax invoices ( facturas ) and payment receipts in compliance with customer and company requirements.
• Coordinate intercompany material transfers between international locations, including Korea, China, the United States, and Mexico.
• Support the Accounting department with vendor payment documentation and follow-up activities.
• Prepare, organize, and maintain logistics and transportation documentation to ensure compliance with company procedures and regulatory requirements

Qualifications

Education and Experience

• High school diploma ( Bachillerato ) required.
• Technical degree ( Carrera Técnica ) or university studies in Business Administration, International Trade, Logistics, Supply Chain Management, or a related field preferred.
• One (1) year of experience in sales support, customer service, logistics, order processing, administrative support, or a related area preferred.
• Equivalent combinations of education, training, and experience will be considered.

Knowledge and Skills

• Knowledge of customer service principles and administrative support processes.
• Experience with order management, shipping documentation, and inventory-related processes preferred.
• Familiarity with EDI (Electronic Data Interchange), ASN (Advanced Shipping Notices), export documentation, and USMCA/T-MEC documentation is desirable.
• Strong organizational skills with attention to detail and accuracy.
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
• Ability to maintain confidential and sensitive business information.

Language Skills

• Ability to read, write, and communicate effectively in Spanish.
• Basic to intermediate English proficiency preferred to support communication with customers, vendors, and company personnel in different countries.
• Ability to prepare correspondence, reports, and other business documents.

Mathematical Skills

• Ability to perform basic mathematical calculations, including addition, subtraction, multiplication, division, percentages, and ratios.
• Ability to interpret operational reports and shipment-related information.

Problem-Solving Skills

• Ability to identify routine issues and recommend practical solutions.
• Ability to follow written and verbal instructions and exercise sound judgment within established guidelines.
• Ability to adapt to changing priorities and business needs.

Computer Skills

• Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and Teams.
• Experience with ERP systems (SAP preferred), order management platforms, and customer service software preferred.
• Ability to learn and effectively use company-specific systems and technologies.
