Job Summary

HR Services Team Lead, Department: 8540 – HR Shared Services, FLSA Status: Exempt.

Position Overview

Human Resources (HR) Services Team Lead will lead a team of HR Service Coordinators to deliver high‑quality centralized transactional actions supporting the entire life cycle of an employee from hire to retire. The role focuses on process improvement, data integrity, and excellent service to candidates, hiring managers, HR business partners, recruiters, and employees across all levels of the organization. The lead will coach, troubleshoot, problem‑solve, and conduct high‑level research for inquiries prior to escalation.

Responsibilities

• Manages case load, prioritizes and allocates cases within the team.
• Ensures the team is adequately resourced at all times.
• Proactively coaches, develops and manages the performance of the team.
• Monitors metrics and improves team performance.
• Ensures data quality and accuracy.
• Recommends solutions to process failings and contributes to continuous improvement.
• Strives to gain customer satisfaction and minimize complaints.
• Highlights areas of improvement and suggests actions to maintain best practice.
• Suggests and implements process improvements that contribute to more efficient working practices; serves as a subject‑matter expert for all operational aspects of HR processes.
• Manages or escalates complaints as appropriate.
• Liaises effectively with all areas of the HR function, acting as a key bridge of effective interaction and connectivity.
• Supports the review and approval of payments to suppliers.
• Is involved in cross‑functional or HR projects as necessary.
• Ensures effective controls are in place to meet SOX requirements.
• Serves as the subject‑matter expert for Workday systems.
• Provides timely assistance to applicants, recruiters, and hiring managers.
• Provides quality customer service to ensure a positive experience for all stakeholders.
• Supports the Talent Acquisition team to ensure a positive candidate experience and a timely start date through requisition and offer‑letter management; interview scheduling, reimbursement, and background checks.
• Provides onboarding and new‑hire support by guiding managers and new hires through onboarding processes.
• Manages day‑1 orientation, prepares new‑hire documentation, validates work eligibility.
• Provides benefits administration support including new‑hire enrollments, terminations and other benefit transactions.
• Acts as a liaison with the payroll team to assist employees with questions and change requests.
• Provides employee file management by setting up and maintaining all employee records.
• Performs employee data administration ensuring data integrity in the HRIS systems.
• Processes employee change requests and data updates; may pull reports on business needs.
• Supports employee offboarding, severance administration, and helpdesk notification.

Education and Experience – Minimum Requirements

• Bachelor’s degree and administrative experience in a recruiting, staffing or HR department.
• 5 years of experience working in a Human Resources or Talent Acquisition function.
• 3 years of experience with Workday.
• 2+ years of experience in a Shared Services environment.

• Advanced skills in MS Office (Word, Excel, Outlook), Smartsheet, and Workday; additional tools such as ADP, iCIMS may be a plus.

• Teamwork and collaboration; effective communication with coworkers and colleagues.
• Customer service and responsiveness; follows up and responds to inquiries within 24 hours.

Physical Requirements

This position is performed in a traditional office environment and involves accessing information using a computer.

Additional Information

The position is hybrid. Requires on‑site work from an Insulet office when office activities are required; may work remotely on other days.
