CRM/Operations Coordinator

We are looking for an organized, proactive, and growth-oriented CRM/Operations Coordinator to support the day-to-day coordination of our business and client activities.

This is a junior-level role for someone who enjoys staying organized, communicating with people, following up on commitments, and making sure things get done. You will work closely with the team to coordinate tasks, maintain accurate information in our CRM, support client communication, and help keep daily operations running smoothly.

The ideal candidate is someone who is comfortable speaking with different people, pays attention to details, takes ownership of their responsibilities, and is not afraid to speak up when they identify an issue or something that needs attention.

You do not need to know every system or tool from day one. We are looking for someone who is eager to learn, comfortable with technology, and interested in growing professionally.

Key Responsibilities

Operations & Administrative Support

• Support day-to-day operational and administrative activities.
• Coordinate tasks, meetings, follow-ups, and deadlines.
• Keep information, documents, and internal records organized and up to date.
• Follow through on assigned tasks and commitments.
• Help the team stay on track with priorities and pending items.
• Identify issues or potential problems and communicate them proactively.
• Support different operational projects as needed.

CRM & Data Management

• Maintain accurate and organized information in the CRM.
• Update client, prospect, contact, and activity information.
• Track follow-ups, tasks, and important dates.
• Support basic CRM reporting and data organization.
• Help keep the CRM clean and up to date.
• Learn and become comfortable using HubSpot or other CRM platforms .

Client & Team Communication

• Support client follow-ups and coordination.
• Help ensure requests and action items are properly tracked and addressed.
• Provide a professional and service-oriented experience to clients and internal stakeholders.
• Communicate clearly when additional information, clarification, or support is needed.

Technology & Process Improvement

• Use tools such as Slack, Outlook, CRM platforms, and AI tools to support daily activities.
• Learn new systems and technologies as needed.
• Use AI tools to improve productivity, organization, and efficiency.
• Identify simple opportunities to make recurring tasks easier or more efficient.
• Support the team in improving processes and workflows over time.

Requirements

• 1–2 years of professional experience in an administrative, customer service, customer care, client services, sales support, account support, or similar role.
• Strong organizational and follow-through skills.
• Excellent attention to detail.
• Comfortable communicating with different people and building professional relationships.
• Strong written and verbal communication skills in English .
• Customer-service-oriented mindset.
• Growth-oriented mindset and willingness to learn.
• Prefered experience in hospitality, senior living, healthcare, customer service, or client-facing environments .
• Experience working with a CRM or customer management system.
• Experience in sales support, sales development, account coordination, or similar roles.
• Familiarity with HubSpot is a plus, but not required.
• Experience using AI tools such as Claude, ChatGPT, or similar platforms .
